1. Introduction
AspectO Technologies Pvt Ltd ("AspectO", "we", "our", or "us") provides artificial intelligence solutions that enhance operational efficiency across manufacturing, education, security, and marketing. Our Services harness computer vision, natural language processing, and machine learning to deliver actionable intelligence to businesses and institutions.
This Privacy Policy describes how AspectO collects, processes, uses, stores, shares, and protects personal and non-personal information across all of our products and services, including but not limited to:
• Classroom Analytics — AI-powered student engagement and behavior analysis
• Conference Analytics — Attendee tracking, crowd flow, and event intelligence
• Inventory Tracking — Computer vision-based counting and logistics monitoring

By accessing or using any of our Services, you agree to the terms of this Privacy Policy. If you do not agree, please discontinue use of the Services.
2. Scope
This Policy applies to:
• All individuals who use or interact with AspectO's Services in any capacity, including end users, students, teachers, parents, enterprise clients, conference attendees, and facility visitors
• All data processed by AspectO's AI systems, including data captured through cameras, sensors, mobile applications, web interfaces, and messaging platforms
• All geographies in which AspectO operates or where data subjects are located
This Policy does not govern the data practices of third-party services that AspectO integrates with. Those third parties maintain their own privacy policies, which we encourage you to review.
3. Definitions
"Personal Data" means any information that identifies or could reasonably identify a natural person, including name, email address, phone number, biometric identifiers, and device identifiers.
"Biometric Data" means data derived from specific technical processing of physical or behavioural characteristics of a person, including facial geometry, gait, and attention patterns captured via computer vision.
"Behavioral Data" means information about how individuals move, interact, focus, or engage within a monitored environment.
"Video/CCTV Data" means footage or image captures collected by cameras deployed as part of AspectO's computer vision systems.
"User" means any individual who accesses AspectO's applications, websites, or Services.
"Client" means an enterprise, institution, or organization that has contracted with AspectO to deploy its Services.
"Services" means all AspectO products, platforms, applications, and consulting services.
"Subprocessor" means a third-party entity engaged by AspectO to process personal data on its behalf.
"AI Model" means a machine learning or deep learning system used to analyze data and generate predictions, classifications, or insights.
4. Information Collected
4.1 Information Provided Directly
We collect information you provide when registering for or using our Services:
• Identity information: name, job title, organization, email address, phone number
• Account credentials: username and encrypted password
• Billing information: payment details processed via secure third-party payment providers
• Communications: support requests, emails, feedback, and messages you send us
• Application data: content submitted through Student App, Parents App, Teachers App, or Falcon Dashboard
4.2 Information Collected Automatically
When you access our digital properties, we automatically collect:
• Device and browser information: IP address, browser type, operating system, device identifiers
• Usage data: pages viewed, features accessed, session duration, click patterns, error logs
• Log data: access timestamps, referring URLs, API call records
• Cookies and similar technologies (see Section 14)
4.3 Information Collected Through Computer Vision Systems
AspectO's core products process video and image data in physical environments. Depending on the product deployed, this may include:
• Video footage from CCTV or IP cameras installed in classrooms, conference venues, warehouses, office buildings, or public spaces
• Still image captures derived from video frames for analysis purposes
• Crowd density, headcount, and spatial distribution data
• Individual movement paths and dwell-time patterns within monitored zones
• Attention and engagement indicators (e.g., gaze direction, posture, presence)
• Access control events: entry, exit, and authorization records
• Object and inventory counts derived from production or logistics footage
Where biometric data is captured or derived — including facial geometry used for access control or identity verification — AspectO processes such data only as authorized by the deploying Client and in accordance with applicable law. Biometric data is processed solely for the specific purpose for which it was collected and is not used for any secondary purpose without separate consent.
4.4 Information Collected Through AI and NLP Systems
Our natural language processing systems may collect and process:
• Text inputs submitted through any AspectO interface, application, or messaging channel
• Voice inputs where voice-enabled features are deployed
• Behavioral signals such as response patterns and engagement sequences
4.5 Information Collected via WhatsApp and Messaging Platforms
When you interact with AspectO through our WhatsApp Business Account or other messaging integrations:
• Your WhatsApp phone number and display name (as provided by the platform)
• Full text content of messages sent to our business account
• Message metadata: timestamps, delivery receipts, message IDs, session identifiers
• Files, images, or documents shared within the conversation
• Conversation history maintained during and between sessions
4.6 Information from Third Parties
We may receive data about you from our Clients (who deploy AspectO in their environments), technology partners, and publicly available sources. We combine such data with information collected directly only where lawfully permitted.
5. AI Processing
AspectO's Services are fundamentally AI-driven. The following describes how AI systems process data across our product lines.
5.1 How Our AI Works
Our AI models analyze inputs — including video frames, text, behavioral signals, and sensor data — to generate outputs such as engagement scores, headcounts, attention classifications, movement maps, and personalized recommendations. Processing occurs through:
• Computer vision models that analyze video and image data in real time or near real time
• Natural language processing models that interpret text and voice inputs
• Predictive models that generate behavioral insights and forecasts
• Recommendation engines that suggest actions to Clients or end users
5.2 Automated Decision-Making
Some of AspectO's AI outputs are used to inform decisions affecting individuals — for example, identifying students who may need additional academic support, or granting or denying physical access to a space. Where automated processing produces outputs that have a meaningful effect on individuals, AspectO and its Clients are responsible for ensuring appropriate human oversight and review. Affected individuals may have the right to request human review of automated decisions; see Section 13.
5.3 AI Model Training and Improvement
AspectO may use aggregated and anonymized data derived from Service usage to improve the performance, accuracy, and safety of our AI models. Personally identifiable data is not used for model training without explicit consent or a lawful basis. Clients may opt out of contributing data to model improvement by contacting support@aspecto.tech.
5.4 AI Agent Transparency
Where AspectO deploys conversational AI agents — including via WhatsApp or other messaging platforms — those agents identify themselves as AI at the start of each interaction. Users may request escalation to a human representative at any time (see Section 15).
6. Computer Vision Processing
AspectO's computer vision products are central to many of our deployments. This section provides specific transparency about how visual data is handled.
6.1 Classroom Analytics
AspectO's Classroom Analytics product uses camera feeds to analyze student behavior, attention levels, and engagement within educational environments. The system:
• Processes live or recorded video from classroom cameras
• Classifies student engagement states (e.g., attentive, distracted, present, absent)
• Identifies knowledge gap indicators through behavioral signals
• Generates personalized learning recommendations for educators
Video from classrooms is processed to produce behavioral metrics. Raw footage is not retained longer than necessary for analysis unless the Client has separately configured archival. Derived data (engagement scores, attention metrics) is stored as described in Section 11.
6.2 Conference Analytics
Our Conference Analytics product processes CCTV and IP camera feeds in event venues to produce:
• Real-time people counts and crowd density maps
• Foot traffic flow and movement pattern analysis
• Attendee engagement heatmaps
• Session and booth popularity metrics
• Safety and occupancy compliance alerts
Video data is processed in real time where possible. Heatmaps and aggregate reports do not contain individually identifying information unless access control or identity features are separately enabled.
6.3 Inventory Tracking
AspectO uses computer vision to monitor inventory in production, loading, and dispatch environments. The system counts and tracks physical objects — not individuals — in most deployments. Where workers appear incidentally in footage, their images are used only to the extent necessary for object counting accuracy.
6.4 People Tracking and Access Control
Our People Tracking product monitors personnel movement and can enforce access control in office buildings and facilities. This product may process:
• Anonymized movement trajectories
• Occupancy counts per zone
• Facial recognition or other biometric verification for access control (where enabled by Client)
Where biometric access control is enabled, AspectO processes biometric data only under explicit authorization from the deploying Client, with appropriate notice given to individuals within the monitored environment. Biometric data used for access control is stored only as long as required to maintain the access control function and is deleted upon termination of the relevant Client contract or upon individual request.
6.5 Data Minimization in Computer Vision
AspectO applies data minimization principles to computer vision processing. Raw video is processed to extract the required analytical output; where that output can be achieved using anonymized or aggregated data, AspectO does not retain raw footage. Retention periods for video data are configured by the deploying Client within the bounds set by AspectO's data retention policy (Section 11).
7. How Information Is Used
AspectO uses collected information for the following purposes:
7.1 Service Delivery
• Providing, operating, and maintaining all AspectO products and platforms
• Delivering AI-generated insights, reports, dashboards, and recommendations to Clients
• Processing access control and security functions
• Enabling communication through applications and messaging integrations
7.2 Personalization and Improvement
• Personalizing educational recommendations for students
• Optimizing AI model outputs based on deployment-specific feedback
• Improving the accuracy, safety, and fairness of our AI systems using anonymized data
7.3 Client and User Communications
• Sending Account-related notices, billing communications, and service updates
• Responding to support requests and technical inquiries
• Providing product announcements, feature updates, and educational content
• Sending promotional communications where you have consented (opt-out: support@aspecto.tech)
7.4 Security and Compliance
• Detecting, preventing, and investigating unauthorized access, fraud, and abuse
• Enforcing our Terms and Conditions and contractual obligations
• Complying with applicable law, regulatory requirements, and lawful government requests
• Protecting the rights, property, and safety of AspectO, our Clients, and end users
7.5 Analytics and Product Development
• Analyzing aggregated and anonymized usage patterns to understand how Services are used
• Developing new products, features, and integrations
• Conducting internal research and quality assurance
8. Legal Basis for Processing
Where applicable law requires a legal basis for processing personal data, AspectO relies on the following:
Contract Performance: Processing necessary to deliver the Services you or your organization have contracted for, including account management, service operation, and billing.
Legitimate Interests: Processing necessary for AspectO's legitimate business interests, including security monitoring, fraud prevention, product improvement, and direct marketing to existing Clients, where those interests are not overridden by the rights of individuals.
Consent: Processing based on your freely given, specific, informed consent — including consent to receive marketing communications, consent to biometric processing where required, and consent to processing via messaging platforms such as WhatsApp. Consent may be withdrawn at any time without affecting the lawfulness of prior processing.
Legal Obligation: Processing required to comply with applicable laws, regulations, court orders, or lawful requests from government or law enforcement authorities.
Vital Interests: Processing necessary to protect the vital interests of individuals in emergency or safety scenarios — applicable in certain people tracking and security deployments.
For Clients operating in jurisdictions with sector-specific requirements (e.g., processing data relating to children in educational settings), AspectO works with Clients to ensure compliance with those requirements as part of the service delivery relationship.
9. Sharing and Subprocessors
9.1 Clients
Where AspectO processes personal data on behalf of a Client (e.g., a school deploying Classroom Analytics, or a facility using People Tracking), AspectO acts as a data processor under that Client's instructions. The Client is responsible for ensuring that appropriate notice is given to individuals within their environments.
9.2 Service Providers and Subprocessors
AspectO engages trusted third-party subprocessors to support service delivery, including:
• Cloud infrastructure and hosting providers
• AI and machine learning platform providers (including large language model providers)
• Analytics and monitoring tools
• Payment processing providers
• Customer support and communication platforms
All subprocessors are subject to data processing agreements that restrict their use of personal data to the performance of services on AspectO's behalf. A list of current subprocessors is available upon request by emailing support@aspecto.tech.
9.3 Legal Disclosures
AspectO may disclose personal data — including Registration Data and Account information — to law enforcement authorities, regulators, or other third parties where required by applicable law, court order, or where AspectO reasonably believes disclosure is necessary to protect rights, property, or safety.
9.4 Business Transfers
In the event of a merger, acquisition, restructuring, or sale of assets, personal data may be transferred to the successor entity. We will notify affected individuals before their data becomes subject to a materially different privacy policy.
9.5 No Sale of Personal Data
AspectO does not sell, rent, or trade personal data — including video data, biometric data, behavioral data, or messaging data — to third parties for marketing or advertising purposes.
10. International Transfers
AspectO is headquartered in India. By using our Services, you consent to the transfer of your information to India and/or other countries where AspectO or its subprocessors operate, for storage, processing, and use.
Where personal data is transferred from jurisdictions with data transfer restrictions (including the European Economic Area or United Kingdom) to countries not recognized as providing an adequate level of data protection, AspectO implements appropriate safeguards, which may include Standard Contractual Clauses or other lawful transfer mechanisms recognized under applicable law.
AspectO takes reasonable contractual and technical steps to ensure that international transfers of personal data maintain a standard of protection consistent with this Policy.
11. Data Retention
AspectO retains personal data only for as long as necessary to fulfil the purposes described in this Policy, comply with legal obligations, resolve disputes, and enforce agreements.
Account and Registration Data: Retained for the duration of the active account and for 3 years following account closure, unless a longer period is required by law.
Video and CCTV Footage: Default retention of 30 days from date of capture, after which footage is automatically deleted unless the Client has configured a longer period within bounds permitted under applicable law.
Derived Computer Vision Data (engagement scores, headcounts, heatmaps): Retained for the duration of the Client's active contract and for 1 year following contract termination, after which it is deleted or anonymized.
Biometric Data: Retained only for as long as the access control or identification function is active. Deleted within 30 days of contract termination or upon individual deletion request.
Messaging and WhatsApp Data: Message content retained for a maximum of 12 months, after which it is permanently deleted or anonymized. Message metadata may be retained in anonymized form for up to 3 years for audit and compliance.
AI Training Data: Anonymized and aggregated data may be retained indefinitely for model improvement. No personally identifiable data is retained in training datasets.
Upon expiry of the applicable retention period, data is securely deleted or anonymized in accordance with industry-standard practices.
12. Security
AspectO implements technical and organizational security measures appropriate to the sensitivity of the data we process. These include:
• Encryption of data in transit using TLS 1.2 or higher
• Encryption of stored personal data
• Role-based access controls limiting data access to authorized personnel
• Regular security assessments and penetration testing
• Audit logging of access to sensitive data systems
• Incident response procedures for detecting, containing, and reporting data breaches
Given the sensitive nature of computer vision and biometric data, AspectO applies heightened security controls to systems processing such data, including network segmentation and additional access restrictions.
No security measure is infallible. In the event of a data breach affecting your personal data, AspectO will notify affected individuals and relevant authorities in accordance with applicable law.
You must immediately report any security vulnerabilities you discover in any AspectO Service to support@aspecto.tech. Failure to report vulnerabilities, particularly prior to public disclosure, constitutes a material breach of the Terms and Conditions.
13. User Rights
Subject to applicable law, you may have the following rights with respect to your personal data:
Right of Access: Request a copy of the personal data AspectO holds about you.
Right to Rectification: Request correction of inaccurate or incomplete personal data.
Right to Erasure: Request deletion of your personal data, subject to legal exceptions.
Right to Restriction: Request that AspectO restrict processing of your data in certain circumstances.
Right to Data Portability: Receive your personal data in a structured, commonly used, machine-readable format.
Right to Object: Object to processing based on legitimate interests, or to processing for direct marketing.
Right to Withdraw Consent: Where processing is based on consent, withdraw at any time without affecting the lawfulness of prior processing.
Right to Human Review: Where AspectO's AI systems make automated decisions that have a meaningful effect on you, request that the decision be reviewed by a human.
Rights Specific to Computer Vision: Where biometric or video data has been collected about you in a monitored environment, request information about what data was collected, how it was used, and request its deletion, subject to the Client's legal obligations.

14. Cookies and Analytics
AspectO uses cookies and similar tracking technologies on its website and applications for the following purposes:
Essential Cookies: Required for operation of the website and applications, including session management, authentication, and security. These cannot be disabled without impairing functionality.
Analytics Cookies: Used to understand how visitors interact with our website and navigate our products. This data is aggregated and not linked to individual identities.
Preference Cookies: Used to remember your settings and preferences across sessions.
You may control cookie preferences through your browser settings or through any consent management interface we provide. Disabling non-essential cookies will not affect your ability to use the core Services. AspectO does not serve advertising cookies on its own properties and does not use cookies to track users across third-party websites for advertising purposes.
15. Meta / WhatsApp / Facebook Integrations
AspectO integrates with Meta's WhatsApp Business Platform to deliver conversational AI services to users and Clients. This section governs all data processing activities connected to this integration.
15.1 Nature of the Integration
AspectO operates a WhatsApp Business Account powered by an AI agent. Users who message this account interact with an automated AI system. The agent identifies itself as AI at the commencement of each conversation. Users may at any time request escalation to a human agent by sending "SPEAK TO A HUMAN" or "HUMAN AGENT".
15.2 Data Transmitted via Meta Infrastructure
When you send a message to AspectO's WhatsApp Business Account, that message is transmitted through Meta's WhatsApp Business Platform before reaching AspectO's systems. Meta processes data in connection with message routing and delivery under its own Privacy Policy and Business Terms (whatsapp.com/legal/privacy-policy).
Data shared with or through Meta includes your phone number and message metadata (required for delivery), message content (transmitted through Meta's infrastructure), and your opt-in and opt-out status.
15.3 AspectO's Use of WhatsApp Data
AspectO uses WhatsApp message data solely to respond to queries, operate the AI agent, route conversations, maintain session context, detect abuse, and improve AI agent quality using anonymized data. AspectO does not use WhatsApp message content for advertising and does not share it with advertisers.
15.4 Opt-In and Opt-Out
AspectO sends WhatsApp messages only to users who have explicitly opted in by initiating a conversation, providing consent through our platform, or scanning our WhatsApp QR code. To opt out, send "STOP", "OPT OUT", or "UNSUBSCRIBE" in the conversation, or email support@aspecto.tech. Opt-out takes effect within 24 hours.
15.5 Human Escalation
Users may request to speak with a human representative at any time during a WhatsApp conversation by sending "SPEAK TO A HUMAN" or "HUMAN AGENT". Escalation will be completed within one business day.
15.6 Future Integrations
AspectO may in the future integrate with additional Meta platforms or other third-party messaging and social platforms. This Policy will be updated to reflect any such integrations, and users will be notified of material changes as described in Section 18.
16. Data Deletion
16.1 Account Deletion
You may request deletion of your AspectO account and associated personal data by emailing support@aspecto.tech with the subject line "ACCOUNT DELETION REQUEST". We will process your request within 30 days, subject to any legal obligations requiring retention of certain data.
16.2 Deletion of Computer Vision and Biometric Data
Individuals monitored within a Client-deployed AspectO environment may request deletion of any personally identifiable data derived from that monitoring by contacting support@aspecto.tech. AspectO will coordinate with the relevant Client to action such requests within 30 days.
16.3 Deletion of WhatsApp and Messaging Data
To request deletion of your WhatsApp conversation history, email support@aspecto.tech with the subject line "PRIVACY REQUEST". Requests are processed within 30 days.
16.4 Deletion Post-Contract
Upon termination of a Client contract, AspectO will delete or return all personal data processed on behalf of that Client within 60 days of contract end, unless applicable law requires retention for a longer period.
16.5 Residual Data
Following deletion, certain anonymized or aggregated data derived from your use of the Services may be retained for model improvement and analytics. This data will not be linked to your identity.
17. Children's Privacy
Several of AspectO's products — including Classroom Analytics, Student App, Parents App, and Teachers App — are deployed in educational environments and may process data relating to individuals under 18 years of age.
AspectO does not directly solicit or collect personal data from children without appropriate authorization from a parent, guardian, or the educational institution acting in loco parentis. Where AspectO processes student data, it does so as a data processor acting under the instructions of the deploying educational institution (the Client), which bears primary responsibility for obtaining appropriate consents and providing required notices to students and parents.
If you are a parent or guardian and believe that your child's personal data has been collected without appropriate authorization, please contact support@aspecto.tech and we will take prompt action to investigate and, where appropriate, delete the data.
AspectO's website and general consumer-facing services are not directed to individuals under 18 and we do not knowingly collect personal data from minors outside of Client-authorized educational deployments.
18. Changes to This Policy
AspectO may update this Privacy Policy from time to time to reflect changes in our products, practices, or applicable law. When material changes are made, we will:
• Update the "Last Updated" date at the top of this Policy
• Notify registered users and Clients by email
• For changes affecting WhatsApp communications, send a notification via WhatsApp message
• Where required by law, obtain fresh consent from affected individuals
Non-material changes (such as clarifications or corrections) may be made without notice. We encourage you to review this Policy periodically. Continued use of our Services after the effective date of any update constitutes acceptance of the revised Policy.
